A spare-parts request that is easier to quote

Separate the item, identification and delivery details so that each line can be checked without guessing.

One line, one requested item

Keep each requested item on a separate line. A kit, an individual seal and a complete assembly are different purchasing scopes, even when they relate to the same equipment. State whether you need the complete unit or selected components. Keep the quantity and unit beside the item, rather than in a separate message.

Keep identifiers unchanged

Copy a part number exactly as it appears, including its suffix. If you have a manual page, keep the page heading and figure reference in the image. A clear nameplate photo can help distinguish the engine maker from the maker of an attached pump or turbocharger. If a detail is unknown, mark it as unknown rather than guessing.

Separate delivery needs from item details

Add the requested destination, recipient and required date. Say whether the order may be split or needs to be consolidated. These are planning inputs, not a confirmed delivery promise. Source, fit, documents and dispatch timing still need to be confirmed in the quotation.
